Your Privacy Matters: Our Commitment to Protecting Your Information
Last updated: October 17, 2025
Who we are
We’re Mesoica B.V., a data quality software company based in the Netherlands. You can reach us at here for any questions about how we handle data.
what this policy covers
This policy explains how we collect and use personal data when you:
- Use our SaaS platform,
- Talk to us as a client or prospective client, or
- Apply for a job.
We mainly work with business users in and outside the EU, including the US.
We understand the importance of protecting your privacy and personal information. This Privacy Policy outlines the types of information we collect, how we use and protect it, and your rights regarding your personal information.
What we collect
We keep it simple, only what we need to do our job:
- Your name, company, role, and business contact details
- Login and account information
- Support tickets and other communication with us
- Limited usage and activity data from our platform
- For job applicants: what you send us when applying for a job
We don’t collect sensitive personal data and we don’t use tracking cookies.
How we collect it
Mostly straight from you — when you sign up, get in touch, or use our platform.
We may occasionally find your business contact details through public sources (like LinkedIn) to reach out about our services.
Why we use it
We use your data to:
- Provide and maintain our services
- Communicate with you and respond to requests
- Send relevant updates about our product
- Keep our systems secure and running smoothly
- Meet legal and administrative requirements
We rely on a few lawful bases under the GDPR:
- Contract – to deliver what you’ve asked for
- Legitimate interest – for things like improving our service or contacting you in a B2B context
- Legal obligation – when we’re required to keep certain records
You can always opt out of marketing or ask us to stop processing your data (see below).
Who helps us process data
We work with a few trusted partners who act as processors under GDPR:
| Provider | Purpose |
|---|---|
| DigitalOcean | Hosting and infrastructure |
| Zoho Desk | Customer support |
| Postmark & Mailgun | Transactional and service email delivery |
These providers act as our GDPR-compliant data processors. Some of them may process or store data outside the EU/EEA, but only under mechanisms approved by GDPR, such as Standard Contractual Clauses (SCCs), to ensure your data stays protected.
We choose providers carefully, require GDPR-compliant agreements, and monitor them to make sure your data is handled securely.
How long we keep it
- Client and user data: up to 7 years after the relationship ends
- Leads and prospects: up to 3 years of inactivity or until you ask us to delete it
- Job applicants: 6 months after the recruitment process
After that, data is deleted or anonymized.
Data security
We take security seriously.
Your data is encrypted in transit, stored securely, and only accessible to people who need it. We monitor, back up, and maintain our systems to prevent misuse or loss.
Your Rights
You can:
- Ask for a copy of your data
- Correct or delete it
- Restrict or object to processing
- Ask us to transfer it to you or another provider
- Withdraw consent (if you ever gave it)
Just send us an email here.
If you’re in the EU, you can also contact the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) if you’re unhappy with how we handle things.
Marketing
We sometimes contact professionals about our services under legitimate interest (B2B context). We never sell or rent personal data.
If you don’t want to hear from us, just unsubscribe or tell us directly.
Cookie
We don’t use tracking cookies or similar tracking tools. If that ever changes, we’ll let you know and update this policy.
Data security and breaches
We apply technical and organizational measures to protect your data. If a personal data breach occurs that risks your rights or freedoms, we’ll notify the relevant supervisory authority and, if appropriate, affected individuals without undue delay.
Changes to this policy
We update this page when our practices or regulations change. The date above always shows the latest version.
